Institutions using Entrio360 are generally responsible for their own privacy notices to applicants. This policy explains our role as a technology provider and how we process data on behalf of subscribing colleges and schools.

- Website visitors — people browsing our site, submitting contact or demo forms.
- Institution users — admins, staff, and agents using the institution panel.
- Students & applicants — people registering, logging in, applying, uploading documents, or paying fees on an institution’s branded portal.
2. Information we collect
Depending on how you interact with Entrio360, we may collect:
- Contact & enquiry data — name, email, phone, institution name, and message content from website forms.
- Account & profile data — names, email addresses, mobile numbers, roles, and login credentials for institution staff and students.
- Application data — information entered in admission forms, course selections, application status, and related metadata.
- Documents — photos, signatures, marks cards, identity documents, and other files uploaded as part of an application.
- Payment information — transaction amounts, status, receipt references, and Razorpay payment IDs. We do not store full card numbers or UPI PINs.
- Communications — OTP delivery logs, transactional email logs, and support ticket messages.
- Technical data — IP address, browser type, device information, session identifiers, and usage logs for security and troubleshooting.
3. How we use information
We use personal information to:
- Provide, operate, and improve the Entrio360 admission platform.
- Enable student registration, OTP login, applications, document uploads, and fee collection.
- Allow institution staff to review applications, manage courses, generate reports, and respond to support tickets.
- Send transactional messages such as welcome emails, application confirmations, payment receipts, and OTP codes.
- Respond to demo requests, sales enquiries, and customer support.
- Integrate with institution-configured CRM webhooks where enabled.
- Monitor platform security, prevent fraud, and comply with legal obligations.
4. Role of institutions
For applicant and student data collected through an institution’s portal, the institution typically determines the purpose and means of processing and is responsible for publishing its own privacy notice to applicants. Entrio360 processes such data under the institution’s instructions as a service provider / data processor.
Institutions should ensure they have a lawful basis to collect applicant data, configure required fields appropriately, and comply with applicable education and data protection laws in India.
5. Payments
Online fee payments are processed through Razorpay. Payment credentials are handled by Razorpay in accordance with their policies. Institutions configure their own Razorpay keys. Entrio360 stores payment status, amounts, and gateway references needed for receipts and reporting.
6. OTP & email
We send mobile OTP codes and transactional emails as part of the platform service. Delivery logs may be retained for troubleshooting and billing transparency. Message content is limited to what is necessary for admission workflows.
7. Sharing of information
We do not sell personal information. We may share data:
- With infrastructure and service providers who help us host, secure, email, SMS, or support the platform.
- With Razorpay and other payment partners to process transactions.
- With institution-configured CRM endpoints via webhooks when the institution enables integration.
- When required by law, court order, or government authority, or to protect rights, safety, and security.
- In connection with a merger, acquisition, or business transfer, subject to appropriate safeguards.
8. Data retention
We retain information for as long as needed to provide the service, meet contractual obligations with institutions, resolve disputes, and comply with legal requirements. Institutions may request export or deletion subject to applicable law and active admission records.
9. Security
We implement technical and organisational measures including tenant isolation, encrypted sessions, access controls, and secure document storage. No method of transmission over the internet is 100% secure. See our Security overview for more detail.
10. Your rights
Depending on applicable law (including India’s Digital Personal Data Protection Act, 2023, where applicable), you may have rights to access, correction, erasure, withdrawal of consent, or grievance redressal.

Admission portals may be used by applicants who are minors (for example, school admissions). Institutions are responsible for obtaining appropriate parental or guardian consent where required. We process such data only as instructed by the institution.

Data is primarily processed in India. If data is transferred outside India, we take steps consistent with applicable law and contractual safeguards.
